英语信件作文格式
1、信封的写法。
英语信封正面的左上角,写发信人的姓名和地址。在信封的正面中央偏左一点,写收信人的地址和姓名。
英语信封上的地点名称由小到大,视其长短可占二至五行不等。
寄信人只写姓名,不写头衔。但是,收信人一般都在名字前加上头衔,以示礼貌和尊敬。对于没有官衔和学衔的人士,通常在姓名前写上Mr., Mrs.,或Ms.。
信封的写法,一般来说,很少出现在中考英语的'作文中。
2、内容。
英文信一般可以分为下列几个部分。
1)信端(Heading)即写信人的地址和发信日期。
2)收信人姓名地址
4)信的正文
5)结束语
3、范文。
有的时候,出题者会让考生写e-mail。e-mail的写法和书信的写法基本一致。只不过少了书信在信封上的繁琐。
根据中文大意,写出意思连贯、符合逻辑、不少于50词的短文。

英语书信主要由以下几个部分组成:

信件如有附件,应在左下角注明Encl.或Enc.。
一、书信作文格式
称呼
也称“起首语”,是对收信人的称呼。称呼要在信纸第一行顶格写起,后加“:”,冒号后不再写字。称呼和署名要对应,明确自己和收信人的关系。(具体可参见第四编《应酬称谓》)称呼可用姓名、称谓,还可加修饰语或直接用修饰语作称呼。这里简要说明几条细则:
(1)给长辈的信。若是近亲,就只写称谓,不写名字,如“爸”、“妈”、“哥”、“嫂”等;亲戚关系的,就写关系的称谓,如“姨妈”、“姑妈”等。对非近亲的长辈,可在称谓前加名或姓,如“赵阿姨”、“黄叔叔”等。
(2)给*辈的信。夫妻或恋爱关系,可直接用对方名字,爱称加修饰语或直接用修饰语,如“丽”、“敏华”、“亲爱的”等;同学、同乡、同事、朋友的信,可直接用名字、昵称或加上“同学”、“同志”,如“瑞生”、“老纪”、“小邹”、“三毛”等。
(3)给晚辈的信。一般直接写名字,如“乐毅”、“君*”、“阿明”等;也可在名字后加上辈分称谓,如“李花侄女”等;亦可直接用称谓作称呼,如“孙女”、“儿子”等。
(4)给师长的信,通常只写其姓或其名,再加“老师”二字,如“段老师”、“周师傅”、“宏海老师”等。对于十分熟悉的师长,也可单称“老师”、 “师傅”。假如连名带姓,在信首直称“孙松*老师”、“王达夫师傅”,就显得不大自然且欠恭敬。对于学有专长、德高望重的师长,往往在姓后加一“老”字,以示尊重,如“戴老”、“周老”,亦可在姓名后加“先生”二字。为郑重起见,也有以职务相称的,如“董教授”、“陈大夫”、“佟工程师”等。
(5)给一个单位或几个人的信,又不指定姓名的,可写“同志们”、“诸位先生”、“XX等同志”等。给机关团体的信,可直接写机关团体名称。如“XX委员会”、“XX公司”。致机关团体领导人的信,可直接用姓名,加上“同志”、“先生”或职务作称呼,亦可直接在机关团体称呼之后加上“领导同志”、“负责同志”、“总经理”、“厂长”等。
如果信是同时写给两个人的,两个称呼应上下并排在一起,也可一前一后,尊长者在前。
上述五种场合,有时还可按特殊对象,视情况加上“尊敬的”、“敬爱的”、“亲爱的”等形容词,以表示敬重或亲密之情。当然,这要用得适宜,如对好友称“尊敬的”,反而显得见外,对无特殊关系的年轻女性贸然称呼“亲爱的”,那就有失检点了。
正文
正文通常以问候语开头。问候是一种文明礼貌行为,也是对收信人的一种礼节,体现写信人对收信人的关心。问候语最常见的是“您好!”“近好!”依时令节气不同,也常有所变化,如“新年好!”“春节愉快!”问候语写在称呼下一行,前面空两格,常自成一段。
问候语之后,常有几句启始语。如“久未见面,别来无恙。”“近来一切可好?”“久未通信,甚念!”之类。问候语要注意简洁、得体。
接下来便是正文的主要部分——主体文,即写信人要说的话。它可以是禀启、复答、劝谕、抒怀、辞谢、致贺、请托、慰唁,也可以是叙情说理、辩驳论证等。这一部分,动笔之前,就应该成竹在胸,明白写信的主旨,做到有条有理、层次分明。若是信中同时要谈几件事,更要注意主次分明,有头有尾,详略得当,最好是一件事一段落,不要混为一谈。
结尾
正文写完后,都要写上表示敬意、祝愿或勉励的话,作为书信的结尾。习惯上,它被称做祝颂语或致敬语,这是对收信人的一种礼貌。祝愿的话可因人、因具体情况选用适当的词,不要乱用。(可参见下节《常用书信用语》的“祝颂语”。)
结尾的习惯写法有两种:
(1)在正文写完之后,转一行空两格写“此致”,再换一行写“敬礼”。
(2)不写“此致”,只是另起一行空两格写“敬礼”、“安好”、“健康”、“*安”等词。
署名日期
在书信最后一行,署上写信人的姓名。署名应写在正文结尾后的右方空半行的地方。如果是写给的亲属、朋友,可加上自己的称呼,如儿、弟、兄、侄等,后边写名字,不必写姓。如果是写给组织的信,一定要把姓与名全部写上。而在署名之后,有时还视情加上“恭呈”、“谨上”、“敬上”等,以示尊敬。上述自称,都要和信首的称谓相互吻合。
日期一项,用以注明写完信的时间,写在署名之后或下边。有时写信人还加上自己的所在的地点,尤其是在旅途中写的.信,更应如此。

Besides, it costs you some money. 二、商务英语电子邮件写作应遵循的五C原则
商务英语电子邮件的正文写作应该遵循五C原则,即Correctness、Conciseness、Complete、Clarity和Courtesy原则。
准确原则 由于商务英语电子邮件涉及的是商务活动双方的权利、义务关系,其准确性对商务治理与沟通至关重要。具体而言,不仅电子邮件的英语语法、标点符号和拼写要做到准确无误,电子邮件内容还要叙述准确,以免引起误会纠纷。
简洁原则 简洁原则是商务英语写作最重要的原则,指在不影响完整性和礼貌性的前提下,尽量使用简单句子和简短词语。一封拖沓冗长、措词复杂的电子邮件既浪费写的时间,也会给阅读者带来不必要的麻烦,故商务英语电子邮件应以简明扼要为第一要务。
在具体写作中,商务英语电子邮件呈现出的句法特征是句子结构简单明了,有大量省略句和不完整句。其词汇特征是用语简洁,语言简明扼要。电子邮件写作格式

完整原则
商务电子邮件内容应力求具体、明确、完整,提供读者所需要的信息,尤其像盘、询问贸易条件等需要回函的电子邮件,更需要清楚完整,因为只有包含具体信息的邮件,才能达到良好的沟通效果。邮件是否完整,可以用5W1H来检验,即who,when,where,what,why和how.清楚原则商务英语电子邮件的写作要做到层次清楚,用词准确。具体表现在:例1 We will deliver your goods soon.例2 中significant一词意为明显的、不小的,语义模糊,故可以用具体数字替换。例2中soon表示不久、很快,语义不明确,没有指出具体的供货时间,可改为具体的年月日。
礼貌原则商务英语电子邮件应遵循措词婉转、礼貌的原则。鉴于电子邮件直接影响到整个交易的成败,买卖双方应十分注重措辞方式,要婉转、礼貌,使对方轻易接受。在写作电子邮件时,可以通过使用虚拟语气、委婉语气等方法迂回地表达观点,提出要求。

商务类英语email写作样式
一、商务英语电子邮件的格式
常见的商务英语电子邮件包括以下五部分:
①写信人Email地址、收信人Email地址、抄送收信人Email地址、密送收信人Email地址。②标题。③称呼、开头、正文、结尾句。④礼貌结束语。⑤写信人全名、写信人职务及所属部门、地址、电话号码、传真等。
其中邮件主题应体现邮件主旨,要引人注目、意思明确,最好为名词或动名词短语;称呼礼貌得体,符合商务英语写作习惯,如不知对方姓名只知头衔,可用 Dear+Title作为称呼,如只知对方姓名不知性别,可用Dear+全名,如邮件为一封通函,则用DearAll作为邮件称呼;正文应结构清楚,便于阅读,如正文内容较长,可使用小标题、小段落,或利用星号、下划线及段落间空行等方式使邮件眉目清楚、一目了然。
二、商务英语电子邮件写作应遵循的六大原则
1、亲切自然:可以用We 就不要用You
每一封email往来,都是你和与收信人之间的交流。很多人以为写商业e-mail就应该用「生意腔」,于是把本来有感情基础的e-mail写得官样。
把每次e-mail往来当成是跟对方进行了一次交谈,只不过交谈的界面是e-mail。用我/我们做主词,这样才能让email读起来热情、友善,像朋友交谈那样简单自然,亲切又人性化。 官样e-mail:Your mail has been received.
亲切e-mail:I have received your mail.
官样e-mail:Your complaint is being looked into.
亲切e-mail:We are looking into your complaint.
2、一针见血:可以清楚 就不要模糊
写email最忌讳文绉绉,要打电话给人就用call,要去拜访人就说visit,不要刻意用自以为正式但其实意思模模糊糊的字。

清楚字:call/write/visit

清楚字:by March 15
3、言简意赅:可以一个字就不要两个字
大部份商业人士跟你一样,每天都要阅读大量e-mail。所以e-mail一定要写得简明扼要。与主题无关或者无助于e-mail目的之内容,请毫不留情的舍弃。
冗长句:The paper jam had the effect of a destructive force on the copy machine. 精简句:The paper jam destroyed the copy machine.

4、语汇朴实:用对方看得懂的关键字
每个行业都有自己的行话,写e-mail时要确定别人懂不懂你的行话,也尽量不用华丽词藻。西方人习惯使用朴实的语言。
迂回句:We look forward to a bright and glorious future of cooperation.
朴实句:We hope to have the opportunity to work with you in the future.

5、有技巧的表达:永远让人觉得youre helpful
同样一件事说法不同,得到回应就不同,有技巧的说法让人乐于为你效劳。

(1)称呼
写一封信,先要把收信人的称呼顶格写在第一行,然后,再在后面加上冒号,表示下面有话要说。
(2)问候语
问候语要写在称呼的下一行,空两格。它可以独立成为一段。
(3)正文
正文一般分为连接语、主体文、总括语三个部分。每一个部分开头都应另起一行,空两格落笔。

关于主题

关于称呼与问候
1.恰当地称呼收件者,拿捏尺度
邮件的开头要称呼收件人。这既显得礼貌,也明确提醒某收件人,此邮件是面向他的,要求其给出必要的回应;在多个收件人的情况下可以称呼大家、ALL。
如果对方有职务,应按职务尊称对方,如“x经理”;如果不清楚职务,则应按通常的“x先生”、“x小姐”称呼,但要把性别先搞清楚。
不熟悉的人不宜直接称呼英文名,对级别高于自己的人也不宜称呼英文名。称呼全名也是不礼貌的,不要逮谁都用个“Dearxxx”,显得很熟络。
开头结尾最好要有问候语
最简单的开头写一个“HI”,中文的写个”你好”;结尾常见的写个BestRegards,
中文的写个”祝您顺利”之类的也就可以了。
俗话说得好,“礼多人不怪”,礼貌一些,总是好的,即便邮件中有些地方不妥,对方也能*静的看待。
关于正文
正文要简明扼要,行文通顺
Email正文应简明扼要的说清楚事情;如果具体内容确实很多,正文应只作摘要介绍,然后单独写个文件作为附件进行详细描述。
正文行文应通顺,多用简单词汇和短句,准确清晰的表达,不要出现让人晦涩难懂的语句。最好不要让人家拉滚动条才能看完你的邮件,千万不要学唐僧。
2.注意Email的论述语气
根据收件人与自己的熟络程度、等级关系;邮件是对内还是对外性质的不同,选择恰当的语气进行论述,以免引起对方不适。
尊重对方,请、谢谢之类的语句要经常出现。
电子邮件可轻易地转给他人,因此对别人意见的评论必须谨慎而客观。“邮件门”就是深刻的教训!
正文多用1234之类的列表,以清晰明确。
如果事情复杂,最好1、2、3、4的列几个段落进行清晰明确的说明。保持你的每个段落简短不冗长,没人有时间仔细看你没分段的长篇大论。
4.一次邮件交待完整信息
最好在一次邮件中把相关信息全部说清楚,说准确。不要过两分钟之后再发一封什么“补充”或者“更正”之类的邮件,这会让人很反感。
5.尽可能避免拼写错误和错别字,注意使用拼写检查
这是对别人的尊重,也是自己态度的体现。如果是英文Email,最好把拼写检查功能打开;如果是中文Email,注意拼音输入法带给你的弱智同音别字。
在邮件发送之前,务必自己仔细阅读一遍,检查行文是否通顺,拼写是否有错误。
6.合理提示重要信息
不要动不动就用大写字母、粗体斜体、颜色字体、加大字号等手段对一些信息进行提示。合理的提示是必要的,但过多的提示则会让人抓不住重点,影响阅度。
7.合理利用图片,表格等形式来辅助阐述
对于很多带有技术介绍或讨论性质的邮件,单纯以文字形式很难描述清楚。如果配合图表加以阐述,收件人一定会表扬你的体贴。
8.不要动不动使用:)之类的笑脸字符,在商务信函里面这样显得比较轻佻
BusinessEmail不是你的情书,所以:)之类的最好慎用。只用在某些你确实需要强调出一定的轻松气氛的场合,比如现在-:)
1.如果邮件带有附件,应在正文里面提示收件人查看附件
2.附件文件应按有意义的名字命名,不可用外星人才看懂的文件名
3.正文中应对附件内容做简要说明,特别是带有多个附件时
4.附件数目不宜
超过4个,数目较多时应打包压缩成一个文件
5.如果附件是特殊格式文件,因在正文中说明打开方式,以免影响使用

语言的选择和汉字编码
1.只在必要的时候才使用英文邮件
英文邮件只是交流的工具,而不是用来炫耀和锻炼英文水*的。如果收件人中有外籍人士,应该使用英文邮件交流;如果收件人是其他国家和地区的华人,也应采用英文交流,由于存在中文编码的问题,你的中文邮件在其他地区可能显示成为乱码天书。
2.尊重对方的习惯,不主动发起英文邮件
如果对方与你的邮件往来是采用中文,请不要自作聪明的发送英文邮件给他;如果对方发英文邮件给你,也不要老土的用中文回复。
3.对于一些信息量丰富或重要的邮件,建议使用中文。你很难保证你的英文表达水*或收件人中某人的英文理解水*存在问题,而影响邮件所涉及问题的解决。
4.选择便于阅度的字号和字体
中文老实点用宋体或新宋体,英文就用Verdana或Arial字型,字号用五号或10号字即可。这是经研究证明最适合在线阅度的字号和字体。不要用稀奇古怪的字体或斜体,最好不用背景信纸,特别对公务邮件。
结尾签名
每封邮件在结尾都应签名,这样对方可以清楚的知道发件人信息。虽然你的朋友可能从发件人中认出你,但不要为你的朋友设计这样的工作。
1.签名信息不宜过多
电子邮件消息末尾加上签名档是必要的。签名档可包括姓名、职务、公司、电话、传真、地址等信息,但信息不宜行数过多,一般不超过4行。你只需将一些必要信息放在上面,对方如果需要更详细的信息,自然会与你联系。
引用一个短语作为你的签名的一部分是可行的,比如你的座右铭,或公司的宣传口号。但是要分清收件人对象与场合,切记一定要得体。
2.不要只用一个签名档
对内、对私、对熟悉的客户等群体的邮件往来,签名档应该进行简化。过于正式的签名档会让与对方显得疏远。你可以在Outlook中设置多个签名档,灵活调用。
3.签名档文字应选择与正文文字匹配,简体、繁体或英文,以免成出现乱码。字号一般应选择比正文字体小一些。
回复技巧
1.及时回复Email
收到他人的重要电子邮件后,即刻回复对方一下,往往还是必不可少的,这是对他人的尊重,理想的回复时间是2小时内,特别是对一些紧急重要的邮件。
对每一份邮件都立即处理是很占用时间的,对于一些优先级低的邮件可集中在一特定时间处理,但一般不要超过24小时。
如果事情复杂,你无法及时确切回复,那至少应该及时的回复说”收到了,我们正在处理,一旦有结果就会及时回复,云云”。不要让对方苦苦等待,记住:及时作出响应,哪怕只是确认一下收到了。
如果你正在出差或休假,应该设定自动回复功能,提示发件人,以免影响工作。
2.进行针对性回复
当回件答复问题的时候,最好把相关的问题抄到回件中,然后附上答案。不要用简单的,那样太生硬了,应该进行必要的阐述,让对方一次性理解,避免再反复交流,浪费资源。
3.回复不得少于10个字
对方给你发来一大段邮件,你确只回复“是的”、“对”、“谢谢”、“已知道”等字眼,这是非常不礼貌的。怎么着也要凑够10个字,显示出你的尊重。
4.不要就同一问题多次回复讨论,不要盖高楼
如果收发双方就同一问题的交流回复超过3次,这只能说明交流不畅,说不清楚。此时应采用电话沟通等其他方式进行交流后再做判断。电子邮件有时并不是最好的交流方式。
对于较为复杂的问题,多个收件人频繁回复,发表看法,把邮件越RE越高,这将导致邮件过于冗长笨拙而不可阅读。此时应即是对之前讨论的结果进行小结,删减瘦身,突出有用信息。
5.要区分Re*和Re*All(区分单独回复和回复全体)
如果只需要单独一个人知道的事,单独回复给他一个人就行了
如果你对发件人提出的要求作出结论响应,应该replayall,让大家都知道;不要让对方帮你完成这件事情。
如果你对发件人的提出的问题不清楚,或有不同的意见,应该与发件人单独沟通,不要当着所有人的面,不停的RE来RE去,与发件人讨论。你们讨论好了再告诉大家。不要向上司频繁发送没有确定结果的邮件。

英语信件格式
英语书信结构一般有以下几个部分组成:
1)信封(envelope)
英语的信封和中文的一样,有三部分组成,即发信人地址、收信人地址和邮票。只不过英语信封的格式除了邮票所贴的位置(信封的右上角)和中文的一样外,英语信封上要写的发信人和收信人的地址和中文的大不一样。发信人的地址应写在信封的左上角,收信人的地址应写在信封偏中右偏下处,英文书信的地址应从小写到大,先写门牌号码,再写街道、城镇、省或州及邮政编码,最后是国家名称。国家名称的每一个字母都要大写。 如下:
2)信头 (heading)
3)封内日期(Date Line)
4)封内地址(Inside Address)
封内地址是收信人的地址,包括姓名,职务(如适用),公司名称(如适用),街道名称或信箱号,城市,州或省,邮政编码和国家。封内地址通常写在左手边,在日期线和称呼之间。
5)称呼(Salutation)
称呼是一封信开头对收信人的称呼,写在封内地址或提示句下两三行。称呼后可以写冒号或逗号。在商业信函或其他正式书信中,用冒号。
在非正式书信中,称呼后用逗号。(注意:尽量避免使用“To Whom It May Concern” 或“Dear Sir or Madam”,因为这种称呼已经过时,并且不很友好。改进方法是争取确定收信人的姓名,或使用“Dear Human Resources Manager”,“Dear Friends”这样的称呼。在给律师或外交领事写信时,可以使用“Esquire”或“Esq.”这样的头衔,但它们不应出现在称呼中。同样,如果收信人的姓名后面有“Jr.”或“Sr.”,如“George Bush,Jr.”也不能把它们包含在称呼中。)
6)头衔(Titles)
除非写信人与收信人熟到可以直呼其名,通常要在收信人名字前加上“Mr.”,“Professor”等表示礼貌的头衔。
7)提示句(选择性)Attention Line(optional)
提示句的用途是指明把信送给某个具体的人或部门处理,尽管信是写给这个组织的。另外,在指明的收信人不在时,它也允许组织中其他人查看信的内容。提示句通常写在封内地址的下两行或封内地址的上面。
8)主题句(选择性)Subject Line(optional)
主题句简要说明信的内容。通常写在封内地址和称呼之间。如果写信人不知道收信人的姓名,也可以用主题句代替称呼。为了收到最佳效果,可以给主题句加下划线,或大写主题句。
9)正文(Body of the Letter)
正文的格式多种多样。商业信函最好使用齐头式。而私人信件通常不用齐头式。在齐头式书信中,全部内容包括日期和信尾问候语,都从左侧顶格开始。段落开头不空格,各段之间空两行。
修正齐头式,是使用最为广泛的一种格式,商业和私人信件都可以使用,尽管在私人信件中不一定要写回邮地址和封内地址。使用没有印刷信头的普通信纸时,这种格式最合适。与齐头式不同,发信人地址、日期,信尾问候语和签名都从中间开始写。其余部分从左边开始。
10)写信人签名(Writer's Identification/ Signature)
写信人的签名、名字和头衔(如果适用),写在信尾问候语同侧三四行以下的位置。应亲笔签上写信人自己的姓名。如果是用打字机或电脑写的信,在写信人签名的上方,同样应该打上写信人的姓名。
11)附注(Notions)
附注写在写信人签名下两行的位置,附注包括参考缩写,附件的数目和内容以及将收到这封信副本的人员名单。附注写在左侧。
12)信尾问候语(Complimentary Closing)
信尾问候语是写在信尾的告别话语,例如Sincerely,; Sincerely yours,; Yours sincerely,; Friendly yours,; Truly yours,; Yours truly,; Cordially yours,; Yours cordially,通常位于正文两三行以下。第一个单词的第一个字母要大写,最后以逗号结尾。
13)附言(Postscript PS or .)
附言用来说明没有包括在信中的想法和内容。通常在附注下两三行的地方,从左侧顶格写起。在促销和私人信件中,附言也可以用来强调写信人请求收信人采取的行动和做的考虑。
