书写抱怨、索赔信函时,不妨开门见山提出原先双方同意的条件,然后列举事实以表示有何不满,以及为什么不满,最后提出解决的方法。内容应清楚、有理、明确,语气要坚决、简洁。避免使用愤怒和使对方过于难堪的措辞(除非你所抱怨的问题反复发生,且多次投诉而毫无结果)。

称呼位于信内地址下两行, 有不同的形式, 根据发信人和收信人之间的关系选择不同的称呼形式。比如建立业务关系的信函一般是发信人给收信人写的第一封信, 发信人可能并不知道对方公司的具体收信人是谁, 因此称呼语为“Dear Sirs”。随着女权运动的发展, 当不确定收信人的性别时, 现在多用“Dear Sir or Madam”或“Dear Madam or Sir”。当第二次或第三次再给同样的收信人写信时, 发信人应该知道收信人的姓名了, 此时“Dear Mr.”或“Dear Ms.”加对方的姓用于称呼语。而以后当双方更加熟悉, 距离更近时, 称呼可变成“Dear”加对方的名字。这同样是积极礼貌策略“使用伙伴识别标记”的采用。信函双方当事人之间的关系远近决定称呼语的使用。

例1.要求建立业务关系正文的开始部分:
From the E-mail that was received from our Toronto Office, we know that your firm is of good standing and reliability in understand that you are particularly interested in the export of various papers to China.
正文开始部分一共两句话就采用了三种积极礼貌策略。第一句使用了“注意对方的兴趣”和“恭维对方”两种策略, 第二句则使用了“寻求一致”的策略。接着实际信息部分其中“we are confident that we will be able to give you large orders if the delivery, price and quality meet our requirements” 应用了“许诺交换条件”的积极礼貌策略。
例2.要求建立业务关系正文的结尾部分:
By this letter, we are contacting you with interest to enter into business relationship with your hope that we may receive your catalogue soon as well as other printed materials for reference.
We look forward to establishing good business relationship with you soon.
在结尾部分, 采用了“给出原因”和“表示乐观”这两种积极礼貌策略。表示写信目的是与对方建立业务关系, 并希望早日收到对方的产品目录和印刷资料。在这一封短信中, 至少应用了六个积极礼貌策略, 这是由于收信人在力量上占优势地位, 发信人则处于劣势地位, 请求收信人与其建立业务关系, 因此发信人会使用较多的礼貌策略表示对收信人的敬意, 希望赢得对方的好感。而对于此类信件的回复, 礼貌策略则应用比较少, 一般会有类似表达“we are sending you by air a catalogue together with a range of pamphlets” (4) , 使用“给与礼物”这一积极礼貌策略。因为回复邮件中原收信人变成了发信人, 这时发信人占有优势地位, 一般会表示同意接受对方建议, 愿意建立业务关系。
又如在报盘信中, 发信人想要销售商品, 收信人占优势地位, 需要使用礼貌策略。
例3.以下是一封报盘信的开始部分:
We are very pleased to receive your inquiry of 16th September and enclose our illustrated catalogue and price list giving the details you ask under separate cover we are sending you some samples and feel confident that when you have examined them you will agree that the goods are both excellent in quality and reasonable in price.
这封信是对之前收到的询盘信的回复, 首先发信人表示很高兴收到对方9月16日的询盘信, 照顾到对方的积极面子, 之后采用“给与礼物”与“寻求一致”两种积极礼貌策略, 表示随函附寄了目录和价格表, 还另寄了样品, 相信对方会认可自己的产品品质优良且价格合理。
例4.以下是一封索赔信的开始部分和实际信息部分第一句话:
The shipment of our order for the whole set of equipment for recording used for a professional recording studio has been duly for your prompt delivery.
Everything seemed perfect and amicable before the case was unpacked.
在开始部分发信人首先肯定货物已经按时收到, 感谢收信人及时发货, 然后在实际信息部分开始叙述出现的问题, 采用了“说话迂回”的消极礼貌策略。再例如在一封抱怨信中, 消极礼貌策略“避免突出个人”在“part of the cartons were wet” 中得以体现, 避免了使用“你”或“我”这样的代词, 而“减少向对方施加的压力”则在“would you please file a claim against the insurer at once” 中得到采用。对抱怨和索赔信的回复中, 消极策略“道歉”通常被用到, 比如在“we apologize again for the inconvenience incurred” 等类似语句中。

商业信函要注意意思表达准确,避免误解。因此在英语商业信函的写作时选词要准确,避免造成歧义,或者意义表达模糊,影响双方的有效交流。
1.选择具体词汇而不是抽象词汇
抽象词汇意义含混,意思表达不直接、不准确,具体词汇意思明确,便于信函双方的迅速沟通。使用具体的词汇准确地表达己方的意愿,帮助双方快速地交流,是商务信函的重要特征。因此,英语商务信函写作应尽量使用具体词汇准确、快速地表达意思,避免意义模糊。
2.避免使用歧义词汇
歧义词汇是指有些词汇在同一个上下文语境中有两种甚至多重意思的理解。商务信函中使用造成歧义的词汇可能影响双方的误解,造成不必要的麻烦。例:We assembled them by the new machine. (“by” can mean “near” or “by means of”)上例中介词“by”在英语中可解释为“在…旁边”和“通过…方法”。因此,上例分别理解为:(1)我们把它们集中放在这台新机器旁边。(2)我们用这台新机器把它们组装起来。为了准确的表达意思,商务信函写作时应根据写信人的意思将上例改写成:(1) We assembled them near the new machine. 或者(2) We assembled them by means of the new machine.另外,商务英语信函要尽量避免一个句子中一个单词多种意思。例如, “Cotton and silk blouses made in China enjoy a good market in the European market”. 在这个句子中,“market”表达了两种意思:第一个“market”的意思是“销售”,第二个“market”表示 “市场”。为了便于理解,应该把这个例句改写为 “Cotton and silk blouses made in China enjoy a good sale in the European marketplace”.
3.避免形容词或副词的重复使用
中国人写作习惯重复表达相同的意思,一方面重复可以保持平衡的词法结构,另外重复也加强了语气,强化了表达的意思。英语文化强调用简明的语言表达意思。在商务英语信函写作时,我们应该遵守英语语言的习惯,避免使用不必要的重复,保持信函的语言简洁,意思清晰。商务信函写作时容易出现的形容词或副词的重复错误:General consensus (“consensus” 一词本身即表示general opinion);True facts (“facts”必须是真实的,即“true”);Assemble together ( “Assemble”即 put together.);Absolutely complete ( “absolutely”即 completely)。
4.使用褒义词和礼貌用语
